1.What this policy covers
This policy explains when you can cancel a Registate service, when you can get money back, and how to ask. It is part of our Terms of Service. Nothing in it limits refund rights you have under consumer law that cannot be excluded.
2.At a glance
| Service | Refundable | Not refundable |
|---|---|---|
| Company formation | Before we start the filing | Once the filing is submitted to the state |
| State and other government fees | Before they are paid to the agency | Once paid to the agency |
| EIN application | Before it is submitted to the IRS | Once submitted |
| Mailbox and address subscriptions | [unused period policy] | Periods already used; per-item and postage charges |
| Office lease | See section 5 | See section 5 |
3.Government fees
State filing fees, expedite fees and other government charges are collected on the agency's behalf and paid to it when we submit your filing. Once submitted, they are not refundable, whether or not the filing is approved, because the agency does not return them. If we have not yet submitted the filing, these fees are refunded in full.
4.Formation and filing services
- Before filing begins: you can cancel your order and receive a refund. [Confirm: full refund, or minus any non-recoverable payment processing fee]
- After we submit the filing to the state, our service fee is not refundable, because the work has been done.
- Our errors: if there is an error in formation documents we prepared, we correct it at no additional cost. [Confirm whether state fees for a correction filing are covered]
- Rejected filings: if a state rejects a filing, for example because the name is not available, we will work with you to refile. [Confirm who pays a second state fee when the rejection was not our error]
- EIN: once the application has been submitted to the IRS, the EIN fee is not refundable. Timing of the IRS is outside our control and is not grounds for a refund.
- Money-back guarantee: [Terms of the Money-back Guarantee shown at checkout]
5.Subscriptions: cancelling and renewals
Mailbox, business address and other recurring services renew automatically each month or year until you cancel. You can cancel online at any time from the Subscriptions page of your dashboard, with the same ease as you signed up. You don't need to call or email us. You can choose:
- Cancel at the end of the period: the service keeps running until the end of the period you have paid for, and you are not charged again.
- Cancel now: the service stops immediately. [Refund of the unused part of the period, if any]
Renewal charges. If you forgot to cancel and contact us within [number of days] days of a renewal charge without having used the renewed period, [renewal refund policy].
Plans with a minimum commitment. Some plans, such as the Verified Business Address plan, have a 12-month commitment shown before you pay. [What happens if you cancel before the commitment ends]
One-time plans. Mailbox for Life is a single payment. [Refund terms for one-time plans]
Usage charges. Per-item fees, postage and forwarding charges are for work already done or postage already paid and are not refundable.
Mail after cancellation. Mail that arrives after a mail service ends is handled as described in the Terms: [mail handling after cancellation].
6.Office lease and proof of address
- The lease term, rent and early termination are set in the lease agreement you sign through DocuSign.
- If your lease is not accepted because of an issue with the address, we will work with you to resolve it. [Refund when a lease application is rejected, e.g. refund of the first invoice]
- Once a lease is signed and documents are issued, fees for the elapsed term are not refundable. [Confirm lease cancellation terms]
7.When we cancel or can't deliver
If we decline your order, cannot provide a service you paid for, or end a service without cause, we refund what you paid for work we have not done and for any government fee not yet submitted. If we end a service because the Terms were broken (for example, false identity information or prohibited use), fees for work already done are not refunded.
8.How to request a refund or cancellation
Cancel subscriptions yourself in the dashboard. For a refund, or to cancel an order that has not been filed yet, email support@registate.com or open a support ticket in your dashboard. Please include:
- the email address on your Registate account;
- the company name and the order or invoice number;
- the service, the date and the amount of the charge;
- what you'd like us to do (cancel, refund, or both) and why;
- for a subscription, whether you have already cancelled it in the dashboard.
We reply within [number of business days] business days and tell you whether the refund is approved.
9.When refunds arrive
Approved refunds go back to the original payment method. For card payments, Stripe sends the refund to your bank once we approve it; it usually appears on your statement within 5 to 10 business days, depending on your bank. Refunds of bank transfers: [bank transfer refund method and timing]. We refund in US dollars, so the amount in your currency may differ because of exchange rates or your bank's fees.
10.Chargebacks
Please contact us before disputing a charge with your bank; most problems are quicker to fix directly. If a chargeback is opened, we will send the bank the records of the order, and we may pause the related service while the dispute is open. A chargeback does not undo filings already made with a state or the IRS.
11.Changes to this policy
We may update this policy. The version in force when you placed an order or when a subscription renewed applies to that charge. The date at the top shows the latest version.
