Virtual mailbox vs virtual office: what do you need?

A virtual mailbox handles your mail. A virtual office adds a coworking address and member access to space where the location offers it. Walk through one day to see where each one stops.

The mailbox and the office share the same mail tools. The difference is the address itself and what you can use on site. The lease-backed address is here for comparison.

You work from home and just need your mail

Letters from the IRS, the state or your bank reach a US street address. You read the envelope online and decide what happens next. No desk needed, so don't pay for one.

Count the people

Your team shares the mail

Every person who receives mail at the address needs their own Form 1583, and each plan caps recipients and users. Match the plan to your headcount.

The paperwork: Form 1583 or a lease

Receiving mail through a service and proving where your business operates are two different things, with different documents.

USPS Form 1583

For the mailbox and the virtual office. It authorizes a Commercial Mail Receiving Agency (CMRA) to receive mail for you.

  • One form for each person or business that gets mail at the address.
  • Two IDs: a photo ID such as a passport (foreign passports count), plus a second one such as a lease, voter or vehicle registration, or an insurance policy.
  • Signed in front of the CMRA, in person or on a real-time video call, or acknowledged by a notary.
  • Your address line carries "PMB" or "#" and the box number.
How mailbox setup works

Lease and utility bill

For the lease-backed address. Form 1583 only lets us take your mail; it doesn't show your business operates at the address.

  • A signed commercial lease for an office suite.
  • A utility bill for the same address.
  • The documents banks and platforms most often ask for as proof of address.
  • Some providers, Stripe among them for certain products, reject mailbox (CMRA) addresses. Each provider decides.

Mailbox vs office FAQs

Mail handling, workspace, Form 1583 and proof of address.

Both give you a US street address where your mail is received, photographed and then scanned, forwarded, stored or shredded as you choose. A virtual mailbox uses a PMB number and includes no workspace. Our virtual office uses a coworking address with a member number, with coworking and meeting rooms at a member discount. Desk access and hours depend on the location.

Yes. USPS requires Form 1583 whenever a Commercial Mail Receiving Agency receives mail for you, with one form per person or business getting mail there. You show two IDs, and the signature is witnessed in person or on a real-time video call, or acknowledged by a notary.

If you need proof of address, our lease-backed address comes with a signed lease and a utility bill. Each provider still makes its own decision.

On the virtual office plan you get coworking and meeting rooms at a member discount where the location offers them. The mailbox plans include no desk, but still get 15% off conference rooms and coworking where available. Hours and bookings vary by location, so email info@registate.com to check yours first.

The virtual mailbox. Prices vary by city and billing cycle, and some plans start with an introductory price. The side-by-side table shows the lowest current monthly price for each plan, and the pricing page has every location.

Your address changes when you move between a PMB, a coworking member address and a leased suite, so you'd update it with banks, platforms and the state. Ask us before switching and we'll tell you what's involved at your location.
