What to do with your mail when traveling

Pausing or forwarding mail works for a trip. It stops working when you're gone for months, change cities every few weeks, or get letters with deadlines.

How the virtual mailbox works

How to receive mail while traveling

Set it up once before you leave, or from wherever you are now. Everything happens online.

  1. Step 1: Pick your US address

New York, Delaware, Florida, California and many more states.

  2. Step 2: Complete USPS Form 1583 online

A foreign passport works as photo ID. Staff may witness your signature on live video, free. No notary needed.

  3. Step 3: Give senders your new address

Start with the letters you can't answer late: the IRS, your bank, your state and your clients.

  4. Step 4: Manage mail from anywhere

Get notified, then scan, forward, shred or deposit, whatever country you woke up in.

Traveler FAQs

Mail, addresses and paperwork for people who are rarely home.

Give the senders that matter a US address that doesn't depend on you being there. With a Registate virtual mailbox, your mail is received at a real US street address, you get a notification when it arrives, and you decide from the app what happens to each item: request a scan and read it as a PDF, forward the original to where you're staying, shred it, or have a check deposited into your US bank account. You don't need anyone at home to open envelopes for you.

USPS Hold Mail keeps mail at your local post office for 3 to 30 days, and you don't see what arrived until you pick it up. Temporary forwarding runs from 15 days to 1 year and sends mail to another address. Both suit a trip or a stay at one other US address. A virtual mailbox is an address of its own: you keep it as long as you need it, you see new mail as it arrives, and you can act on each letter from anywhere.

No. A virtual mailbox receives mail addressed to the mailbox address. Letters from senders you haven't updated keep going to your home address, where USPS Hold Mail or forwarding rules apply. Move your important senders over first, keep a short list of those still writing to your home, and the pile waiting at the empty house gets smaller with every update.

Start with the ones that send deadlines or money: the IRS and your state, banks and card issuers, insurers, and clients who pay by check or send contracts. If you run a US company, add your formation state and any service that sends compliance letters. Some records ask where you live rather than where you receive mail; keep those accurate with your residential address.

Yes. When you need an original, you can consolidate letters and packages in your mailbox and have them forwarded to wherever you are, in the US or abroad. Forwarding is a new shipment from your mailbox, so allow for delivery time and confirm the address before you move on to your next stop. For anything you only need to read, a scan is faster.

Yes. There's no need to forward checks internationally. We can securely deposit checks received in your mailbox directly into your U.S. bank account on your behalf, so a client payment doesn't sit unopened until you're back.

Yes. US rules require a Commercial Mail Receiving Agency to hold a signed PS Form 1583 and two forms of ID for everyone who receives mail at the address. With Registate you fill the form online in steps, a foreign passport is accepted as the photo ID, and since 2024 our staff may witness your signature over live video at no charge. Online notarization is available if you prefer it; USPS does not require a notary.

You can use it as a permanent mailing address: the place your mail goes, whatever city you're in. It doesn't change where you live. A mailbox does not establish residency, domicile or tax status, and some banks, government forms and records ask for your residential address specifically. If a move has legal or tax consequences for you, get advice for your situation.

The mail side works the same way whether you move by plane, van or RV: one US address, notifications when mail arrives, scans on request and forwarding to wherever you're parked next. What Registate does not provide is a domicile. Full-time RVers often pick a state for residency, vehicle registration and taxes; that's a separate decision from where your mail is received.

Your mailbox address works for daily business operations: registering your company, filing US taxes and communicating with vendors and suppliers. Banks and payment platforms often want more than a mailing address during KYC, which is why Registate also offers a lease-based business address with proof of address documents. A registered agent address is usually not accepted as a principal place of business for KYC.

Your mail is managed in a secure online dashboard protected by 2048-bit SSL, and scans are stored in your account. Junk mail and sensitive documents you no longer need can be securely and permanently shredded with a single click, so nothing sits around in paper form while you're away.

Travel Longer. Miss Nothing.

One US address, every letter within reach, from wherever you are.
